What Do I Have To Do?
Finance – Responsible for all financial matters involved in presenting the conference including collection and deposit of funds, payment of bills, preparation of conference budget and financial report detailing all income and expenses. The chairperson of this committee will work closely with the Lieutenant Governor of Education and Training (LGET). The chairperson and members will be directed by Conference Co-Chair.
Registration – In charge of collecting registration forms and funds, preparing registration packets (tickets, name badges, etc.), coordinating on-site registration (Friday Evening and Saturday AM). The chairperson and members of this committee will be directed by Conference Co-Chair.
Education / Workshop – Responsible for organizing the general education sessions and speakers. The committee chair and members will be directed by the LGET.
Contest – Responsible for the efficient and orderly coordination of the speech contests (International and Table Topics in the spring, Humorous and Evaluation in the fall). The chairperson of this committee will be the Contest chair and work under the direction of Conference Co-Chair.
Publications / Promotion – Publicizes and promotes the conference throughout the District. Members will be involved with development of the conference booklet, ads and sponsorship. Works closely with the District Public Relations Officer and will be directed by Conference Co-Chair.
Facilities / Logistics – Performs liaison functions on behalf of the District in dealing with the conference facility and speakers. Responsible for coordinating meeting room set-up, accommodations, A/V equipment (working with the A/V sub-committee) and other supplies (notebooks, pens) and signage. This committee will also include a Sergeant at Arms sub-committee that will be responsible for safety, security and the efficient movement of people from one event to the next. This committee will be directed by Conference Co-Chair.
Entertainment / Meals – Coordinate interactions between the District and contracted entertainment staff and facilities staff providing conference meals. The committee will appoint a dining room coordinator who will be trained to control the flow of servers and wait staff for meals and serve as the main point of contact with the facility banquet manager. Conference Co-Chair will direct this committee.
Hospitality – Assist attendees with becoming familiar with layout of conference facilities (meeting / guest rooms, restrooms, dining areas, etc.) This committee will be responsible for managing the �First-Timers� program. Conference Co-Chair will direct this committee.
Website – Several roles are available to assist the District in keeping content current on the District website. Editor – Submits information to the District 58 webmaster to be posted on the website and edits current content to keep it fresh and pertinent. Technical Assistant – Posts content to the website, maintain or develop dynamic content, and assists webmaster with e-commerce.
Administration – Assists Top 3 with tasks not covered by other committees.
Why Should I Help?
Planning a District Conference is an excellent opportunity to develop and practice leadership and communication skills. This is particularly true for the Conference Chair(s), but applies to everyone involved.
The Conference Chair(s) and Committee Chairs have the option of using their Conference Planning activities to fulfill the requirements of a High Performance Leadership Project (HPLP). The HPLP can be undertaken by any Toastmaster at any time, but each region (low country, midlands, and upstate) hosts a District 58 Conference only once in three years, so it is a special opportunity.
Planning a Conference can be a very enjoyable process. Working as a cohesive team, there is plenty of interaction with other Toastmasters and many reasons to celebrate. There is also great satisfaction in completing a successful Conference.
